Finance Specialist

Grade : Specialist

Reports to : CFO

Works closely with : Management (CEO & CFO), Project Managers & Procurement team.

Role Summary

Owns the Finance & Accounting function end-to-end, from daily transactional work (cash management, AP/AR, tax filing) through to financial planning, reporting, and project cost control. Because this role absorbs Staff-level execution as well as Specialist-level strategy, the incumbent is expected to personally process transactions AND translate that data into financial insight for management. Acts as the primary finance partner for project and executive decision-making.

Industry-specific emphasis on FX exposure monitoring for imported AV equipment and project costing across interior/AV-tech cost lines.

1. Bank & Cash Management

• Perform daily and monthly bank reconciliation for all company accounts; resolve discrepancies within 3 business days.
• Manage petty cash fund, disburse, record, and reconcile to zero balance at month-end.
• Maintain daily cash position and prepare short- to medium-term cash flow projections (13-week rolling forecast).

2. Accounts Receivable (AR)

• Issue client invoices accurately and on schedule per project milestones or agreed billing terms, based on signed Berita Acara Kemajuan Pekerjaan (BAP) / BAST and contract milestone terms.
• Monitor outstanding receivables and conduct systematic AR follow-up to ensure >90% on-time collection.
• Maintain AR aging report and flag overdue accounts to management weekly.

3. Accounts Payable (AP)

• Process vendor and supplier invoices, verify against PO, and approve before payment.
• Schedule AP payments in line with cash flow and payment terms; ensure >98% error-free processing.

4. Working Capital & FX Risk Management

• Oversee AP/AR cycles to optimize working capital across the business.
• Monitor foreign exchange (FX) exposure arising from imported AV equipment procurement; implement hedging or mitigation strategies (e.g., forward contracts, natural hedging, timing of payables) where necessary.
• Coordinate with banks to arrange credit facilities when required to support procurement or project cash flow needs.

5. Project Costing & Margin Control

• Calculate and monitor project cost (HPP – Harga Pokok Produksi) for each active project.
• Track margin vs. budget in real time, analyzing variances across interior materials, AV hardware acquisition, third-party software licensing, and specialized tech-labor costs.
• Conduct in-depth financial analysis (margin, cost structure, ROI, working capital) and provide actionable recommendations to project and executive stakeholders.
• Support project managers in identifying cost overruns early and recommending corrective action.

6. Tax & Compliance

• Prepare and submit monthly VAT (PPN) input/output data and reporting via e-Faktur.
• Prepare monthly withholding tax reports (PPh 21, PPh 23, PPh 4 ayat 2 for construction/installation services) and ensure timely submission.
• Liaise with external tax consultants; identify legitimate tax optimization opportunities within applicable law.

7. Financial Planning & Budgeting

• Lead the annual budgeting process; coordinate with all departments to compile, consolidate, and finalize the company budget.
• Prepare monthly and quarterly rolling forecasts; analyze variances against budget and present findings to management.
• Develop financial models and scenario analyses to support strategic business decisions.

8. Financial Reporting & Analysis

• Prepare complete monthly, quarterly, and annual financial statements (P&L, Balance Sheet, Cash Flow Statement) in accordance with PSAK.
• Conduct in-depth financial analysis and provide actionable recommendations to management.

9. Internal Controls & Audit

• Design, document, and enforce internal control procedures across all financial processes.
• Serve as the primary liaison for external auditors during the annual audit; ensure all audit requests are fulfilled accurately and on time.
• Identify control weaknesses and propose corrective action plans.

10. Records & Documentation

• Maintain a complete and well-organized filing system for all financial documents (physical and digital).
  

Minimum Bachelor's Degree (S1) in Accounting or Finance.

• Minimum 2–4 years of progressive experience in Finance/Accounting (not fresh graduate).
• Prior experience in construction, interior design, or AV/project-based industries strongly preferred.
• Demonstrated experience covering both transactional (AP/AR, bank rec, tax filing) and strategic (budgeting, reporting, analysis) finance functions is a strong advantage, given the merged scope of this role.

• Advanced proficiency in Microsoft Excel (financial modeling, pivot tables, complex formulas).
• Hands-on experience with accounting software (Accurate, SAP Business One, or equivalent).
• Experience liaising with external auditors (Big-4 or reputable mid-tier firm experience is a plus).
• Working knowledge of e-Faktur and e-SPT for tax filing and reporting (working closely with our Tax Consultant)
• Comfortable handling multi-currency transactional data entry (IDR/USD) for imported tech-hardware procurement.
• Basic understanding of FX exposure monitoring and hedging instruments.
  

• Deep understanding of PSAK (Indonesian Financial Accounting Standards) and IFRS fundamentals.
• Strong command of Indonesian taxation (PPh Badan, PPh 21, PPh 4(2)) and regulatory compliance.
• Solid grasp of project costing and managerial accounting.
• Understanding of revenue recognition principles for long-term engineering, installation, and construction contracts.
• Awareness of product warranty tracking and asset depreciation practices.
